How to Transfer Domains: A Complete Guide for Business Owners

Transferring a domain to a new registrar is a routine process — but it has enough steps and potential pitfalls that it's worth doing carefully. This guide walks you through the complete domain transfer process.

Why Transfer a Domain?

Common reasons businesses transfer domains:

  • Consolidation — Moving all domains to one registrar for easier management
  • Better pricing — Renewal rates vary significantly between registrars
  • Better support — Moving to a registrar with better customer service
  • Bundling with hosting — Keeping domain and hosting with the same provider
  • Switching to a managed provider — Moving to VSF Technology for full-service domain management

Before You Transfer: Important Checks

1. Verify the Domain Is Eligible for Transfer

ICANN rules require that a domain must be at least 60 days old before it can be transferred. If you recently registered or transferred the domain, you'll need to wait.

2. Unlock the Domain

Most registrars lock domains by default to prevent unauthorized transfers. You need to unlock it before initiating a transfer.

Log in to your current registrar's dashboard and look for "Domain Lock" or "Transfer Lock" settings. Toggle it to unlocked.

3. Get the Authorization Code (EPP Code)

The authorization code (also called EPP code, auth code, or transfer key) is a unique password that authorizes the transfer. Your current registrar will provide this — usually via email or in your account dashboard.

4. Verify Your Contact Email

ICANN requires email verification during domain transfers. Make sure the email address on your domain's WHOIS record is one you can access. If it's outdated, update it before initiating the transfer.

5. Disable WHOIS Privacy Temporarily

Some registrars require WHOIS privacy to be disabled during transfers. Check your current registrar's requirements.

The Transfer Process

Step 1: Initiate the Transfer at the New Registrar

Go to your new registrar (or VSF Technology's domain transfer service) and enter your domain name. You'll be prompted to enter the authorization code.

Step 2: Approve the Transfer

You'll receive an email at the address on your domain's WHOIS record asking you to approve the transfer. Click the approval link.

Your current registrar may also send a notification giving you the option to cancel the transfer. If you receive this, do not cancel it unless you initiated the transfer by mistake.

Step 3: Wait for Completion

Domain transfers typically take 5–7 days to complete. During this time, your domain continues to work normally — your website and email are not affected.

Step 4: Verify DNS Settings

After the transfer completes, verify that your DNS records transferred correctly. Check:

  • A records (pointing to your web hosting server)
  • MX records (pointing to your email server)
  • CNAME records
  • Any other custom DNS records

If DNS records didn't transfer, you'll need to recreate them at the new registrar.

Common Transfer Mistakes to Avoid

Letting the domain expire during transfer — If your domain expires while a transfer is in progress, it can complicate or cancel the transfer. Make sure you have at least 30 days before expiration.

Not backing up DNS records — Screenshot or export your DNS records before transferring. Some registrars don't transfer DNS records automatically.

Ignoring approval emails — The transfer approval email has a deadline (usually 5 days). If you miss it, the transfer is cancelled and you have to start over.

Transferring right before a major campaign — The 5–7 day transfer window is a bad time for DNS issues. Plan transfers during low-traffic periods.
